Shopping, not selling? If a retailer has already emailed you a paid return label, use theirs. It costs you nothing, the retailer has already settled with the carrier, and nothing on this page improves on that. Head to our rundown of retailer return labels instead. This is a drafting aid, not legal advice. Consumer-protection rules vary by state and some categories carry their own requirements, so run anything you publish past someone qualified before it goes live.
The four clauses that move money
- Window. Count from delivery rather than from the order date. Delivery is a fact a carrier records; order date is a fact your buyer will argue about.
- Condition. Say what unsold looks like in your category. For apparel that usually means tags attached; for tools it usually means the case and the manual came back too.
- Postage. This is the clause with a price attached. Pick one of three: you buy the label, the buyer buys it, or you buy it and net the cost out of the refund.
- Refund timing. Promise a count of business days that starts when the parcel is scanned back into your hands, not when the buyer says they dropped it off.
RETURNS
Window. We accept returns of items delivered within [30] days. The window
starts on the carrier delivery scan.
Condition. Items must come back unused, in the original packaging, with
[tags attached / all accessories included]. Items outside that condition
may be refused or refunded in part.
Return postage. [Option A: We pay. Request a return and we will email you
a prepaid label.] [Option B: You pay. Buy any carrier label to the address
on your packing slip and send us the tracking number.] [Option C: We pay
up front and deduct $[0.00] from the refund.]
Exceptions. [Custom or personalised goods / opened consumables / final-sale
items] cannot be returned.
Refund. We refund the item price to the original payment method within [5]
business days of receiving and inspecting the return. Original outbound
shipping [is / is not] refunded.
Damaged or wrong item. If we sent the wrong thing or it arrived damaged,
we pay return postage and replace or refund in full. Send a photo within
[7] days of delivery.
Square brackets are decisions, not decoration. A policy that leaves the postage clause vague gets argued out one inbox message at a time.
What large retailers actually publish

Two patterns are worth copying. One, the window is counted in whole months so buyers can hold it in their heads. Two, three of the five charge for return postage in at least one situation, which means a paid return clause will not read as unusual to your customers.
Putting a number in the deduction clause
If you go with option C and deduct a flat amount, that amount should come from a quote rather than a guess. Here is the same 3 lb shoe box coming back to a Newark, NJ address from three cities, priced through the SMKlog calculator on 2026-07-28 at the full checkout amount.

The spread across the country on that box was $2.56 on quote day. A single flat deduction is simpler to publish than a table, so most sellers set it near the top of their own range and absorb the difference on nearby returns. Whatever you print, print the date you priced it and revisit it when carriers file new rates.
